Programs

A program is created when a Brief has been submitted. This will create a program with the same name as the Brief Name.

The programs are categorized by Year and by Quarter. You must open two folders (Year and Quarter) before you can see the programs, from the Programs tab. To do this, click on the + sign next to each of the folders to open and collapse folders. The folders are located on the left side of the page below the company logo.

Note

  • RMS will save the changes you have made to the opening and collapsing of the folders. This means that the next time you log into RMS, the folders you have opened this time will be remembered and remain open.

Programs Filter

When in Programs – Outline tab, only currently active (running and pending) programs will show.

  • To display all programs, click on the Show All Programs button.
  • To display only active programs, click on the Show Active Programs button.

Note

  • Programs that have no allocations will not be shown in Active Programs mode even if they are active or pending.

Program Dates and Timeline

  • The dates listed on the right side of the page show the start and end date set for the program. These dates are put in place when allocations are created
  • The timeline shows several things. The thin vertical line indicates today’s date. The bars provide you with a visual of where the current, future or past program / allocation is in relation to today’s date. There are four statuses of a program: Pending, Running, Expired and Empty. Pending programs are indicated with yellow bars. Running programs are indicated by green. Grey bars indicate expired programs and timelines without any bars are empty, meaning they do not hold any allocations.

Allocations

  • To view Collateral Allocations created within each program (either active, expired or pending), expand the program folder by clicking on the [+] to the left of the folder and click on the files listed underneath the program. You can click on each allocation to view it. Please refer to Allocations section for more details about allocations.

  • Allocation timelines look different from Program timelines. Solid bars of colour are Program timelines and the non-solid bars are allocation timelines

Briefs (in the Programs tab)

  • Not everyone has access to the Briefs tab that allows you to create, edit and or approve briefs, so the Briefs tab within a program allows users to see the brief in a read only format
  • Click on the Programs tab, expand Year and Quarter then click on a desired program
  • Click on the Brief sub-tab to access the program’s brief

Clone Program

Clone Program feature allows you to create new program with same collateral elements and same allocation that were used in source program. Cloning program will create new program, new collateral elements, and new allocations. Collateral titles will remain same as in source program and new SKUs will be generated. Allocation formulas and names will be also same as in source program.

To clone program and its collateral follow these steps:

  • Navigate to the program (expand year and quarter) and click on the program you want to clone
  • Click on the Brief sub-tab
  • Click on Clone Program button
  • You will be taken to new brief page and you will have to enter new brief details (please refer to Create a Brief section).
  • Click Save
  • Click on Allocations tab and change dates for new program allocations.

Note

  • Depending on number of elements program contains it can take several minutes to recreate all collateral.
  • If you do not see your program in the programs list please adjust Program dates in Briefs tab or click on Show All Programs button.
