Tasks allow you to post tasks to store to complete. You can make a simple task in which users are asked to answer simple questions, or you can make a dynamic task, which allows you to route users to questions based on their previous answer.

Creating survey is three step process:

  1. Create Task
  2. Build Task
  3. Allocate Task

You can create five types of questions:

  • Single Option: users can choose only one option as an answer. You can route users based on their answers.
  • Multiple Options: users can select multiple options as an answer. No routing is possible.
  • Text Input: users can input text answers. You can route users if there is text inputted.
  • File Upload: users can upload files if requested. You can route users if there is a file uploaded.
  • Instructions: this type does not require users to answer or perform an action for this question. You can route where users go from this task.

Create task

  • Click on the Home tab.
  • Click on the Tasks tab.
  • Click on the List Task Items button.
  • Click on the New Task Item button.
  • Enter a task item title.
  • Enter the task item description / instruction.
  • You can upload supporting image for a question.
  • From the dropdown menu, choose the task item type.
  • If you have selected a Single or Multiple Choice task item, enter answer option(s):
    • To add option, click on green + sign.
    • To remove option, click on red – sign.
  • File Upload and Text Input task items types have no options to set.
  • The Instructions option has a text field where you can type instructions for users.

Build Task

Due to the dynamic nature of the Tasks, you will need to build tasks before pushing them to stores. Building a task requires that you add task items and assign the next task item based on the answered option. Dynamic tasks can be complex, so we recommend that you make a task flow chart showing where to route users based on their answers.

To build a task:

  • Click on the Home tab.
  • Click on the Tasks tab.
  • Click on the List Built Tasks button (you will see a list of existing tasks).
  • Click on the Build Task button.
  • Enter the Task title.
  • Enter the Task description (users can see the description, which includes task requirements, notes and instructions).
  • Below, you have two sections: Task Build Area and Available Task Items. You can drag and drop Task Items to the Task Build Area.
  • Once task items are entered in the Task Build Area you can click on Task Items and arrange them in a specific order.
  • By default, all task items require an answer. Users can’t advance to the next task unless they answer the required question.
  • All Task Items that can be routed have a Go To field that must/needs to be entered. This will route users to a specific task item if they answer this option. All options have to have routing entered unless it is the last question. Based on user answers, there might be multiple last task items.
  • Click Save once the task is built.

Allocate Task

Once the task is built, you can allocate it (push task to stores).

  • Click on the Home tab.
  • Click on the Tasks tab.
  • Click on the New Task button.
  • Enter the Task title.
  • From the Task dropdown menu, choose Built Task.
  • In the Occurrences section select when the task should be available to the stores.
  • Choose fixture or zone if you want it to filter the stores.
  • Select the “from and to” dates that specify when the task is available.
  • Either enter the store list or choose provinces / states, channels or groups to select stores affected.
  • Click Save.

Allocate to Reps

If you want to allocate to Reps ( Corporate Rep, Dealer Rep, Retail Rep ) you can place checkmark in front of Reps you want to allocate to. You can filter reps by typing keyword. Filter is CASE sensitive. By clicking on the small grey arrow pointing down system will select all Reps displayed.

To get list of Reps that are part of allocated locations only, scroll to bottom of page and click Update button. This will reload a page and highlight Reps that are assigned to allocated stores. Click on small arrow to select only highlighted Reps.

Note

  • You can collapse Representatives section by clicking on Representatives. System will remember your preferences and keep it collapsed on all pages.
  • Please note Update might take few minutes to complete and to calculate Reps that are assigned to select stores.

Preview Task

Once the task is built and allocated, you can preview it. As admin, you can take the task and navigate through it to confirm all the routing is done correctly. To preview the task:

  • Click on the Home tab.
  • Click on the Tasks tab.
  • Click on the Preview button in the line of the task you want to test.

Note

  • Task previews are not saved.

Task Report

Once the task is set as Completed or is expired you can pull the report to see and download the results.

Click on the Report button in the line of the task you want to get the report on. A new window will open with task statistics and charts. To download data and images, click on Export Data and Export Images on the top right of the page.

  • In tasks list click on Report button to see on screen report. First chart of report shows task progress outlining how many stores is part of the task, how many completed task, how many are in process and how many did not attempt to complete task. You can also send message to stores that are in process or that did not attempt to complete task to remind them to complete it.
  • All other charts below are task questions statistic. It is visual representation of gathered data.
  • You can download task data by clicking on Export Data button on the top.
  • You can download submitted images by clicking on Export Images button on top. Images files are names as following: STOREID_TASKID_TASKITEMID_IMAGENUMBER
  • If task item was for store to upload image, you can preview images by clicking on Images Preview button on specified task item. Image preview page will show store name and shows uploaded images from that specific store.
