Surveys allow you to post questionnaire to stores. You can make simple surveys in which users are asked to answer simple questions, or you can make a dynamic survey, which allows you to route users to questions based on their previous answer.

Creating survey is three step process:

  1. Create Question
  2. Build Survey
  3. Allocate Survey

You can create five types of questions:

  • Single Option: users can choose only one option as an answer. You can route users based on their answers.
  • Multiple Options: users can select multiple options as an answer. No routing is possible.
  • Text Input: users can input text answers. You can route users if there is text inputted.
  • File Upload: users can upload files if requested. You can route users if there is a file uploaded.
  • Instructions: this type does not require users to answer or perform an action for this question. You can route where users go from this question.

If you are planing to build dynamic survey it is recommended that you create survey flow-chart.

Create Question

  • Click on the Home tab.
  • Click on Surveys tab.
  • Click on the List Questions button.
  • Click on the New Questions button.
  • Enter a question title.
  • Enter question description / instruction.
  • You can upload supporting image for a question.
  • From the dropdown menu, choose the question type.
  • If you have selected a Single or Multiple Choice question, enter answer option(s):
    • To add option, click on green + sign.
    • To remove option, click on red – sign.
  • File Upload and Text Input question types have no options to set.
  • The Instructions option has a text field where you can type instructions for users.

Note

  • File upload accepts any kind of file to be uploaded as support file or from store level to be uploaded as response.
  • When you start typing answer option system will suggest existing option to be used. Please use existing option if available.

Warning

  • Please do not change question once it is assigned to any build. Changing question that is already assigned can result in unpredictable build behaviour.

Build Survey

Due to the dynamic nature of the survey, you will need to build surveys before pushing them to stores. Building surveys requires you to add questions and assign the next question based on the answered option. Dynamic surveys can be complex, so we recommend that you make a survey flow chart showing where to route users based on their answers.

To build a survey:

  • Click on Home tab.
  • Click on Surveys tab.
  • Click on List Built Surveys button (you will see a list of existing surveys).
  • Click on the Build Survey button.
  • Enter the survey title.
  • Enter the survey description (users can see the description, which includes survey requirements, notes and instructions).
  • Below, you have two sections, Survey Build Area and Available Questions. You can drag and drop question to the Survey Build Area.
  • Once questions are entered in the Survey Build Area you can click on questions and arrange them in a specific order.
  • By default, all questions require an answer. Users can’t advance to the next question unless they answer the required question.
  • All questions that can be routed have a Go To field to be entered. This will route users to a specific question if they answer this option. All options have to have routing entered unless it is the last question. Based on user answers, there might be multiple last questions.
  • Click Save once the survey is built.

Note

  • Routing: 0 takes user to beginning (start over)
  • Routing: (blank) (takes user to end, last question)
  • Depending on survey complexity there could be multiple end questions.
  • You can’t change or edit built survey if it is allocated and active.

Allocate Survey

Once the survey is built, you can allocate it (push survey to store).

  • Click on the Home tab.
  • Click on the Surveys tab.
  • Click on the New Survey button.
  • Enter the survey title.
  • From the survey dropdown menu, choose Built Survey.
  • Choose fixture or zone if you want to filter stores by it.
  • Select the dates the survey is available from and to.
  • Select Pop Up Survey When User Logs In if you want to require users to fill in the survey.
  • You can further enforce users to finish surveys few days prior to its end by Forcing Pop-Up. Forced pop-up can't be closed or escaped, so user is forced to finish survey.
  • Alternatively you can send survey reminder to either: Store, Store Account Manager or Store Rep
  • Either enter the store list or choose provinces / states, channels or groups to select stores affected.
  • Click Save.

If you want to allocate to Reps ( Corporate Rep, Dealer Rep, Retail Rep ) you can place checkmark in front of Reps you want to allocate to. You can filter reps by typing keyword. Filter is CASE sensitive. By clicking on the small grey arrow pointing down system will select all Reps displayed.

To get list of Reps that are part of allocated locations only, scroll to bottom of page and click Update button. This will reload a page and highlight Reps that are assigned to allocated stores. Click on small arrow to select only highlighted Reps.

Note

  • You can collapse Representatives section by clicking on Representatives. System will remember your preferences and keep it collapsed on all pages.
  • Please note Update might take few minutes to complete and to calculate Reps that are assigned to select stores.

Preview Survey

Once the survey is built and allocated, you can preview it. As admin, you can take the survey and navigate through it to confirm all the routing is done correctly. To preview the survey:

  • Click on the Home tab.
  • Click on the Surveys tab.
  • Click on the Preview button in the line of the survey you want to test.

Note

  • Survey previews are not saved.

Survey Report

Once the survey is built and allocated, you can get on survey report at any time.

  • In Surveys list click on Report button to see on screen report. First chart of report shows survey progress outlining how many stores is surveyed, how many completed survey, how many are in process and how many did not attempt to complete survey. You can also send message to stores that are surveyed, completed, in process or that did not attempt to complete survey.
  • All other charts below are survey questions statistic. It is visual representation of gathered data.
  • You can download survey data by clicking on Export Data button on the top.
  • You can download submitted images by clicking on Export Images button on top. Images files are names as following: STORENUMBER_SURVEYID_QUESTIONID_IMAGENUMBER
  • For each question you can see how many people selected each of avaialble option. Clicking on number of how many people have chosen this option will take you to list of the stores that have selected this option.
  • If survey question was for store to upload image, you can preview images by clicking on Images Preview button on specified question. Image preview page will show store name and shows uploaded images from that specific store.
  • Once you have finished reviewing survey data you can mark survey as Reviewed by clicking on Reviewed on top right

Note

  • If there is no store number assigned to store, system will use Store ID for exporting images
  • Reviewed surveys are hidden by default. Click on Show Reviewed button to see reviewed surveys.

Survey Review

You can review surveys in the system and mark each location answers as Reviewed. You can also send email to locations regarding their survey answers.

To review survey in the system:

  • Click on Surveys
  • Click on Report button on desired survey line
  • Click on Review button on top right in report page
  • You will see list of stores and their answers and/or images uploaded
  • You can review answers and preview images by clicking on them
  • Once you review location click on Check-box on the bottom left to mark this location answers as reviewed
  • Click on envelope icon on bottom right to send email to this location regarding their answers

Note

  • Once all locations are marked as reviewed system will automatically mark survey as reviewed.
  • Messages (emails) are kept in a log. Every time you click on envelope you will see all previous messages sent to this account for this survey.

Delete Survey

You can delete surveys in case you have made mistake and you do not want to launch or re-use survey.

Note

  • Once you delete survey you can't access it directly and you can't un-delete it.
  • If you wish to gain access to deleted survey please issue ticket to support.
