Briefs are created to start a program, project or special promotion. They include all campaign information, including target audiences, launch and end dates, products, channels, etc. Once a brief is submitted, a program is created.


Create a Brief

  • Once you have signed into your account, click on the Briefs tab.
  • Click on the New Brief button found at the top left hand corner of the page (under the corporate logo). Users that are able to create briefs are: Allocation Prime, Channel Prime, Trade Prime and Creative Design Prime.
  • Enter the Project Name and Select the Quarter & Message, Disclose Date, Launch Date and End Date from the drop down menus. You can also assign the project to another System Administrator.
  • Click on the Save button to save the brief. This option only saves the information you have inputted so you can return to make changes later. System does not create a program until you submit the brief.

Note

  • By default, system hides expired briefs. Click on Show All Briefs button to show current and expired briefs. Expired briefs are shaded grey.
  • Please avoid special characters in the Brief names (@,%,&, etc...)

Brief - Project Overview

Brief has four sections. Top most section contains Project Name and some key dates. Jobs & Windows section contains all Print Jobs and Print Windows associated with this specific Project. Messages section allows users to leave messages and to upload project related files (documents, instructions etc.). Collateral section lists all Project collateral elements created.

Note

  • You can upload any kind of file in Messages section. You can delete files only you have uploaded.
  • Hover over uploaded file to see who and when file was uploaded.
  • Jobs & Windows, Messages and Collateral are dynamic sections and they will change as project progresses. Please refresh page to see latest changes.

Creating Product Category

  • Under Entities, click on the Products sub-tab.
  • Click on New Entity.
  • Enter details and Save.

Edit a Brief

  • To edit a brief, click on the Project Name to access the brief. Make the necessary changes and click on Save to save additional changes or click on Submit to put the project into process. You can also make changes to submitted brief.

Note

  • You will still have the ability to make changes when a brief is submitted; however, you should discuss the changes with Creative Design Prime prior to making any edits, as they are the users with the ability to approve briefs. If they are reviewing the brief as you make changes, they will not see the changes that you have made. This could result in an error within the brief document.

Submit a Brief

  • Click on the Project Name of the brief you want to submit.
  • Ensure all the information is correct and that all necessary changes have been made.
  • Click on the Submit button. This will create the Program

Note

  • Submitting a brief tells other users that the brief is ready to be reviewed for approval. Only Creative Design Prime users have the ability to approve briefs.
  • The table in the Briefs tab will show you information regarding how many briefs are created, which quarter the brief is intended for, the name of the project, who created the brief, the date it was corrected, the date changes were last made and the status of the brief (save, submitted or approved.)
  • Once a brief has been submitted, it becomes a Program. (Status: Approved)
  • You can access Program (collateral) directly from its Brief by clicking on the Collateral button just after Project Name.
  • Clicking on collateral button will also save changes made to the brief.

Brief Email Notification

This feature allows anyone to have the ability to be notified when a brief has been submitted and approved. Only System Administrators and Power Users can make changes to approved briefs. Users that are able to create briefs are: Allocation Prime, Channel Prime, Trade Prime and Creative Design Prime Creative Design Primes Approve Briefs.

Set-up Email Notification for Brief Submissions and Approvals:

  • Select an account profile
  • Scroll down to System Alerts
  • Select the check box for Brief Submission
  • Click on Save

Brief Report

At the end of the each brief there is Report button. This report displays how many tickets and collateral orders have been issued for this program collateral, there is also Details report tab where compliance can be seen graphically by Concept and Province down to Store level. To see report and charts click on Report button:

  • Chart dates are pulled from allocations (lowest Launch Date and highest End Date)
  • You can change dates to see only specific date range
  • Blue line represent number of tickets issued
  • Red line represent number of collateral elements issued
  • Pie Chart shows Ticket - Collateral ratio
  • Number of tickets issued chart shows list of the stores and number of tickets they issued. They are sorted by highest number of tickets issued
  • Number of orders by SKU shows list of collateral elements and how many times each element has been ordered
  • Store Compliance (average) shoes a chart of how many stores are at what compliance percentage. For example: 5% of the stores are 100% compliant. They are ordered from highest compliance to lowest and they are grouped in increments of 10%.
